Search projects
Introduction
In Search projects you find an overview of all your projects. You can search for specific project and save different filters with different search criteria, so it is easy for you to find your projects the next time.
Description
When you enter the page, all projects you are project manager for are shown, unless you have selected to save a filter and use that instead.
Filtering
On the top of the page in Filter, you select the criteria you want to search for. Next to the Show button, there is an arrow function which opens the opportunity to save the current filter or load and use previous filters You can collapse the filter, so you get more space for the projects list.
The filter is divided into two areas:
Search projects:
Here you select the criteria you want to base your search on, e.g. project status, project manager, contract model and contract status.
View options:
Here you may select different parameters to narrow down your search. They are based on your project data.
- Show internal projects: This is as default enabled
- Show all columns: Here you will see all columns in the list, so you get more details about the project in one overview
- Only show projects with time registrations within the last 90 days
- Show only projects with pending booking actions
The project list
In the project list you see your search results, and from here you can:
- Navigate to a specific project
- Get an overview of your project portfolio and budgets
- Change project status and stage on one of more projects with one action
- Delete one or more projects
Navigate to a project
If you mouse over a project name, number or customer name, you will see a link icon, which means that you can click the name/number and get the opportunity to edit data.
You can also navigate to a project by either clicking the project number or name or by clicking the pencil, which means Edit project.
Overview of your project portfolio and budgets
In the columns where you can see small arrows, you can sort your projects according to the data in the single columns.
In the Completion column, you can see if you have reached or exceeded your hour budget on the projects. To make use of this feature, you must have entered an overall budget in the Project totals on the project. The Completion bar changes colour depending on how many hours you have spent:
- Up to 80 % = Green
- Up to 100 % = Yellow
- Above 100% = Red
- Completed = Grey
Mark the view option Show all columns, then you will also see the below features, if you have enabled them in the system administration:
- Project category
- Account manager
- Task budget
- Allocated hours
Change project status and stage
You can change project status by clicking the icon to the right. If the project is active, you see a play button. If you click the button, you will get a list of the different project statuses you can select from.
If you would like to change project status and stage on one or more projects, mark them to the right and use the Select action menu and select which status or which stage the project(s) should be changed to and click OK.
Delete projects
If you would like to delete one or more projects, you either press the bin icon or mark them to the right, use the Select action menu, select Delete and click OK.
You cannot delete project containing registrations, e.g. time registrations, invoices, credit notes or expenses.
Special remarks
It is possible to save pre-defined filters and layouts in the Page settings. It is also here, you set up what standard filter is pre-selected when you open the page, and if the page automatically loads the data contained in the standard filter when you enter the page.
Continue working while the system updates your projects
You might have selected to update many projects, which takes a while for the system to process. You can just continue your work in TimeLog, and then you get a notification when all your updates are managed, and if there a single projects which could not be updates.
