Transfer invoices

Introduction

This guide describes how you can easily transfer your posted TimeLog invoices to your integrated financial system.

Description

Use the view filter to build a table of the posted TimeLog invoices you want to transfer to the financial system.

If you have TimeLog MLE enabled, the transfer table will only be created with invoices belonging to the selected legal entity.

View filter

The view filter allows you to specify which invoices should be added to the transfer table, based on their posting date within the selected period. By default, only the standard period is selected.

  • Legal entity: Here you choose which legal entity's invoices should be added to the transfer table. This option only appears if multiple legal entities have been created.
  • Customer: Select a customer name if you only want to see invoices for a particular customer.
  • Invoice type: By default, all invoice types are included, but you can select booked invoices and booked credit notes.
  • Standard period: Here you can choose from predefined periods. By default, the period is set according to the selection in the invoice settings.
  • Period: Here you can specify a custom start and end date for invoices with a posting date in the selected period.
  • Free text search: Here you can search by customer name or invoice number.

View options

Show non-transferred invoices only; This is selected by default and includes only TimeLog invoices that have not previously been transferred, with a posting date within the selected period.

Show previously transferred invoices only; Includes only previously transferred invoices, with a posting date within the selected period.

Show ignored invoices only; Includes invoices that have previously been ignored, with a posting date within the selected period.

Previously ignored TimeLog invoices can be transferred at a later time.

Click SHOW to create the transfer table.

Non-transferred invoices

The transfer table displays the invoices and credit notes that you have the option to transfer to your accounting system, based on the filters you have selected. TimeLog invoices are added in the left half of the table. The right half will not contain any information.

  • No.: Shows the TimeLog invoice or credit note number.
  • Customer: Shows the customer’s name
  • Heating: Shows the invoice title
  • Type: Indicates whether it is an invoice or a credit note
  • Date: Shows the posting date of the TimeLog invoice
  • ¤: Shows the currency code on the invoice
  • Amount: Shows the net amount on the invoice in the invoice's currency

The listed invoices are automatically checked in the box on the far right, and you can deselect individual invoices as needed.

Click TRANSFER to transfer the selected invoices or IGNORE to skip transferring the selected invoices.

Transferred invoices

After transferring the selected invoices, you can choose the display option Show previously transferred invoices only to get an overview of the created invoices in the accounting system, shown in the right half of the table.

  • No.: Shows the invoice number from the accounting system. If an invoice number is missing, it means the invoice has not yet been posted in the accounting system.
  • Customer: Shows the customer’s name
  • Status: Shows the posting status of the invoice in the accounting system
  • Date: Shows the posting date in the accounting system
  • ¤: Shows the currency code on the invoice in the accounting system
  • Amount: Shows the net amount of the invoice in the accounting system

If there is a yellow background on the net amount of the TimeLog invoice and the invoice in the accounting system, it indicates a discrepancy in the net amount of the created invoice in the accounting system.

If your customer has questions about an invoice sent from your accounting system, the display option Show previously transferred invoices only helps you find the linked TimeLog invoice. Enter the invoice number from the accounting system in the Full text search and click SHOW.

Click on the TimeLog invoice number or the invoice header to open the TimeLog invoice.

Shortcut

All invoice transfers are stored in TimeLog's integration log, and clicking the Integration log link opens the report of the transfers and their status for the selected period. You can also refer to the corresponding online guide.
