How to export employee data

Export employee data from the report Data extraction: Employees in Reports. Filter by department, legal entity or status, and export the fields your privileges give you access to.

You can export a list of your employees, with the fields you need, from Reports. Use it for HR overviews, audits or anything else where you need employee data outside TimeLog.

Where to find it

Go to Reports → Data extraction → Data extraction: Employees. If you used the export on the employee overview page before, this is the same functionality. It has moved to Reports.

How to export

  1. Go to Reports → Data extraction → Data extraction: Employees.
  2. Filter the list. Which filters you see depends on your TimeLog setup and your user role (see below).
  3. Generate the table. You'll see one row per employee, with the employee fields available to you.
  4. Export the table in the format you need.

What you need to see employee data

To use the report, your user role needs two things:

          • The setting Reports: Data extraction: Employees, which gives you access to the report.
          • At least one employee permission: The user can view employee information for or The user can create new users.

If you have access to the report but no employee permission, you can open the report, but you won't see any employee data.

          Which filters you see

          • Department and legal entity: these filters only appear if departments and legal entities are activated in your TimeLog solution.
          • License type: this filter only appears if your TimeLog solution uses more than one license type and your user holds the “User can create new users” role privilege.
          • Status: shows active/inactive users

          Which employees you see

The report follows your employee privileges, so you only see the employees you have access to.

          • All employees: if you have privileges to all employees, you can filter across all departments and legal entities.
          • Department privileges: the department filter is locked to your department. The department dropdown shows only your department and its sub-departments.
          • Legal entity privileges: the legal entity filter is locked to your legal entity.

Can't see the export, or no data?

                • You can't find the report: your user role doesn't have the setting Reports: Data extraction: Employees. Ask your TimeLog administrator to give you access.
                • You see the message "You do not have access to see this report": your user role has no employee permission. Ask your TimeLog administrator to add one.
                • A filter is locked, missing or you can't see all employees: this is because of your employee privileges or your TimeLog setup. Your TimeLog administrator can change your privileges.
