Data extraction: Contract baselines

Introduction

This report provides an overview of changes and progress on a project’s contracts. The report is based on the baselines created on a project and functions as a status log, where you can compare the change on the project on the last baseline. A baseline provides a snapshot of settings and financial data on a project.

To receive data in this report, you must manually add baselines on a project. See the explanation in the Special remarks section below.

 

Description

Select the project and period you will se the baselines for and click Show. If you leave start and end dates out, you will get a list of all baselines ever created on the project.

It is possible to narrow your search by e.g. selecting a specific contract on the project or baselines requested by a specific employee.

You will see one line per baseline on the project with the associated data and settings registered at the time of making the baseline.

Here is an explanation of the different columns:

Baseline: Here, you see by whom and when a baseline was created and the contract name, contract model and project name. You also see the status the contract had by the time the baseline was created.
Budget, (hours): Here you see the hour budget and contract amount entered on the project.
Budget (¤): Here you see the financial budget for the project, and it is divided into work, expenses and travel costs. You see the budget in your default currency.
Payment plan and revenue allocation (¤): Here you see your total value on your payment plan on the single contracts and the allocation of the payment plan’s value on work, expenses and travels. The amounts are shown in your default currency.
Realised, work (hours): Here you see the number of registered and booked hours on the project.
Realised, work (¤): Her ser du den registrerede og indtægtsførte værdi på jeres projekt baseret på jeres timeforbrug. Beløbene vises i jeres standardvaluta.
Realised, expenses and travels (¤): Here you see the total external costs and their booked value on the project. The amount both cover your registered expenses and travel expenses. The amounts are shown in your default currency.

If you would like to work with the data and analyse the changes and progress on the project, you can export the data to Excel for further analysis.

Special remarks

You create a baseline on a project by clicking the Lightning available on all project pages in the top right corner. Here you click New baseline and enter a comment. Hereafter, you will see the baselines in this report.
When you create a new baseline, you also take a snapshot of other settings on the project. You find an overview of these in the Project baselines report

Save your filters

It is possible to pre-define filters and layouts in the Page settings. It is also here, you set up what standard filter is pre-selected when you open the page, and if the page automatically loads the data contained in the standard filter when you enter the page.

It saves time, and you avoid manual entries when entering the report, and you get your default view right away.
