Transfer salary data
Transfer salary data summarises all registrations for your active employees, including salary and absence codes that are marked as 'Include in export to salary system'.
Filter
Use the various filter options to build a table with the desired payroll data.
- Legal entity: This option is only visible if you have multiple legal entities in your TimeLog installation. Here, you select which legal entity’s employee registrations should be transferred.
- Department: This option is only visible if you have set up departments. Here, you select which department’s employees you wish to transfer. By default, all departments are selected when “Select department” is displayed.
- Pay period: Here, you choose the payroll period from which payroll data should be retrieved. All employees who have the selected period in their employee setup will be included in the transfer. Remember to run one process per payroll type.
- Salary group: Here, you select the salary group from which to retrieve payroll data. All employees who have the selected salary group in their employee setup will be included in the transfer. If several salary groups have been created, each salary group must be transferred separately. This filter is only visible if enabled in system administration.
- Employee: Here, you can choose which employee to transfer payroll data for. By default, all employees who belong to the selected salary group are selected when “Select employee” is displayed. The list of employees includes all active employees who have the selected salary group in their employee setup.
- Salary period: By default, "New salary period" is selected, and the start and end dates of the period are shown in the period fields. The dates are based on the last exported salary period. The start date is locked to the end date of the previous salary period plus one day. The end date is calculated according to the length of the previous period and can be adjusted as needed.
You also have the option to select a previous period for which you wish to view salary data. As long as your salary period is not locked, you can change the end date of the most recent salary period for each payroll cycle. - Period: Here, you choose which period you want to create and transfer salary data for. The start date is automatically set based on the end date of your most recent period plus one day. If this is the first time you are using the salary integration, or you select a pay period for which you have not transferred data before, you must specify both the start and end dates for the period.
When the desired filter configuration is chosen, the employees' payroll data will be displayed after clicking "Show".
Save your filter setup
You have the option to save your filter selections, so you do not need to choose the filter configuration every time.
Click the small arrow next to the Show button and select Save current filter. Give the filter selection a name, and you will see the saved filter name when you click the small arrow next to the Show button.
If you have a saved filter that you wish to set as the default, you can select which of your saved filters you want to use as the default filter under Settings → Page in the navigation menu on the left. If you tick Load data automatically, Transfer salary data will automatically use the filter setup next time Transfer payroll data is opened, and the table will display the employees' payroll data.
Transfer salary data Table
The table displays employees’ payroll data, based on the selected filter configuration and activated absence and salary accounts.
By default, all employees are ticked in the checkbox on the far right. If an employee’s data should not be transferred, you can remove the tick by clicking the box.
If the box on the far right is grey, the employee has not been assigned an employee ID in the employee card in TimeLog.
If an employee is missing approval, the checkbox is replaced by an orange warning triangle, and you will see additional information when you hover the mouse over the warning triangle.
Transfer employees' payroll data
TimeLog offers two types of salary integrations. If the salary data table shows the "Generate file" button on the far right, TimeLog will create a file containing the employees’ payroll data, which can then be imported into your payroll system. You will find the generated file in your File Explorer, in the Transfers folder.
Please note that if you open the exported file in, for example, Excel before importing it into the payroll system, the exported payroll data may be altered. This can result in an error message when importing the data into your payroll system.
If the button is called "Transfer salary", TimeLog transfers the employees' payroll data directly to your payroll system.
Status of transferred payroll data
No matter which integration you use, you can view the status of the transfer in the Integration log report.
Subsequently registered payroll data
If there are employees who register payroll data after you have imported/transferred payroll data to the payroll system, TimeLog recommends that these new employee entries are handled manually in the payroll system, as there are differences in how re-transferred payroll data is managed in the various payroll systems.
