Assignment flow

Introduction

Assigning employees to tasks can be done both from the project and the employee view. The assignment feature allows the user to assign with / without allocating the employee with a budget and with / without planning the employee directly into the resource plan.

Description

From the employee view

On the employee view, click the    on an employee row to start assigning. The assignment flow has 2 or 3 steps depending on your needs:

Step 1: Select project

The project list will initially be sorted by the most recently assigned projects to easily continue ongoing work.

Alternatively, you can search projects by using the below filter options stand-alone:

  1. Free text search on Project name, Project #, Customer name, Customer (#), Project manager, Project type and if enabled also legal entity and / or department
  2. AND / OR apply filters on
    1. Customer
    2. Legal entity (if enabled)
    3. Department (if enabled)
    4. Project manager
    5. Project type

Click the project on which, you would like to assign the employee (or use the keyboard arrow keys and ENTER)

Step 2: Select task

The task list will initially be sorted by the most recently assigned task to easily continue ongoing work.

Alternatively, you can search tasks by using the free text search on Task name, Task # and Task type.

If you have complex project structures (WBS), then you can toggle Show full WBS.

From the task list, you have two options:

  1. Click  , the row or hit ENTER to open the last Assign & plan step where you can enter an allocated budget and plan the hours in the resource planner in one operation
  2. Click or hit CTRL + ENTER if you just want the employee in the resource planner now without adding an allocated budget or plan the employee in the flow.

If using option 2, you can continue to assign more tasks from the list to the same employee. When you are done, click Cancel or outside the window to get back to the resource planner.

Step 3: Assign & plan

In Step 3, you can add enrich the assignment by adding an allocated budget to the project and / or plan the budget into the resource planner.

If the employee is already allocated on the task in the project, then in the last step you can assign and plan the employee in one operation:

  • Planned hours: The number of hours to be planned in the resource planner
  • Start date and End date: The date span where you want the hours to be planned.

The meter on the employee card visualizes how much workload the employee will have in the date span if assigning the employee with the hours entered.

If the employee is not already allocated to the task to which you are assigning, then you can enter an allocated budget and hourly rate while assigning the employee.

From the project view

On the employee view, click the on an task row to start assigning.

The assignment flow has 1 or 2 steps depending on your needs:

Step 1: Select employee

The employee list will initially be sorted by the most recently assigned employees to easily continue ongoing work.

Alternatively, you can search employee by using the below filter options stand-alone or combined:

  1. Free text search on Employee name, Employee initials, Competence, and if enabled also legal entity and / or department
  2. AND / OR apply filters on
    1. Legal entity (if enabled)
    2. Department (if enabled)
    3. Employee manager
    4. Competence
    5. Minimum availability (h.)

From the employee list, you have two options:

  1. Click , the row or hit ENTER to open the last Assign & plan step where you can enter an allocated budget and plan the hours in the resource planner in one operation
  2. Click  or hit CTRL + ENTER if you just want the employee in the resource planner now without adding an allocated budget or plan the employee in the flow.

If using option 2, you can continue to assign more tasks from the list to the same employee. When you are done, click Cancel or outside the window to get back to the resource planner.
