How to register time in TimeLog
Under Time you can track your work hours on projects as well as any absence. TimeLog ensures you have a clear and manageable record of your time, giving you the flexibility to make easy adjustments if necessary.
In this video, you see how you can track time in TimeLog.
Tracking Time with Fast Track
To track time, use the Fast Track search field.
- Search for a task, customer, or project.
- Input the date, hours spent, and any relevant comments.
- Click Save to record your time.
Using the Timesheet for Time Tracking
1. Entering Hours:
- Locate the correct project and task in the timesheet.
- Enter the hours worked and any comments. The timesheet will save your entries automatically as you navigate away from the field.
2. Adjusting Timesheet View:
To adjust the timesheet view to a day, two weeks, or a month, select the desired period using the calendar icon. By default, the timesheet displays a week's view.
To review time registrations for a specific period, change the timesheet view accordingly. Both views allow you to expand or collapse project and registration details.
3. Quick Access to Tasks:
To quickly access tasks, mark them as favorites by clicking the star icon on the left. Then, use the top-right menu to filter for favorites only.Understanding the Budget Column
The Budget column shows the hours allocated for a task versus the hours already utilized. The progress bar color indicates the status of your hours:
- Green: Up to 80% of hours used
- Yellow: Up to 100% of hours used
- Red: More than 100% of hours used
- Grey: Task completed
Hover over the progress bar to view the remaining hours in your budget.
Utilizing the Stopwatch for Time Tracking
The detailed timesheet includes a stopwatch feature for direct start and stop time registrations. Comments are linked and will display once the registration stops.
1. Starting the Stopwatch:
Initiate registrations through the Fast Track field. If hours are pre-entered, the stopwatch will continue counting from that point.
Note: Only one registration can run at a time. Use a previous registration to start a new one; comments will carry over.
To begin, click the play button. The system will prompt you to confirm starting a new registration with today's date.
2. Running Stopwatch:
The running stopwatch is indicated by a numerical display next to the icon, located to the left of the super search field. It remains visible as you navigate the system.
Should you close the browser while a time registration is active, the stopwatch continues until you return and stop it.
At midnight, the stopwatch automatically concludes the previous day's registration and initiates a new one for the current day.
Tracking Absence or Vacation
1. Recording Absence:
To track absence or vacation, start by selecting the appropriate absence code. Enter the duration as the number of hours or specify if it's a half or full day.
Click the small triangle to add any relevant comments. The system will automatically save your registration once you navigate away from the field.
2. Extended Absence:
If you need to track absence for a longer period of time, go visit our article for How to register absence for several days.
3. Modifying Approved Absence:
If you need to alter your vacation plans, you can remove approved absence entries. This allows you to make necessary changes, such as adjusting your vacation dates.
For absence codes set up for hourly tracking, use the stopwatch just as you would for project tasks. The process mirrors time tracking, with comments linked to the stopwatch registration.
Submitting Hours for Approval
To submit your hours, click Submit for approval. Enter the relevant period and include a comment for your manager to review during the approval process.
Set your personal settings
To personalize your settings, click the gears icon. This allows you to adjust:
- Your default view, including the period and tasks displayed.
- Timesheet preferences for data and layout.
- Fast track search defaults.
Special Remarks on Time Entries: Understanding the Formats
We provide two formats for recording time to ensure clarity and accuracy:
Time Format:
- Remove non-numeric characters.
- '1' is interpreted as 1 minute by the system.
Examples:
- '1' = 00:01 (1 minute)
- '60' = 1:00 (1 hour)
- '111' = 01:11
- '1111' = 11:11
Decimal Numbers:
- The system eliminates thousand separators and accepts only numeric characters and a single decimal separator.
- '1' is equivalent to 1 hour.
Examples with Danish Rounding Rules:
- '1' = 1,00 (1 hour)
- '1,1' = 1,10
- '1.234,23' = unchanged
- ',5' = 0,5 (half an hour)
