Data extraction: Contracts

Introduction

This report provides an overview of the projects’ contracts. This report is useful, if you need to follow up on invoicing and time tracking on e.g. prepaid hours and fixed-price contracts. The report is designed for Excel export, and can therefore include all interesting reporting data.

Description

As default, the report shows all active contracts on all active projects, and it can easily be filtered and show other views.

Filtering

Customer: Show contracts on projects for this customer only
Project manager: Show contracts on projects with this project manager only
Project: Show contracts on this project only
Contract: Show this contract only (if you have several contracts linked to one project)
Contract model**: Show contracts of this contract model only (up to eight different models)
Project status: Show contracts on projects with this status only. Please note: If a project is completed, the contracts on the project are completed as well.
Contract status: Show contracts with this status only
Customer contact: Show contracts on projects where the contact is set as the customer contact in the project settings only
Account manager*: Show contracts on projects where the employee is set as the customer’s primary or secondary account manager in TimeLog’s customer database only
Partner*: Show contracts on projects where this employee is the partner only
Project type: Show contracts on projects with this project type only
Project category*: Show contracts on projects with this project category only
Department, projects*: Show contracts on projects belonging to this department or sub-departments only

*These filter options may be hidden, if they are disabled in the system administration or not available in your version of TimeLog.
** We have eight contract models in total. Your version of TimeLog decides how many contracts are available to you. Learn more about the contract models in our guide.

View options

The report contains several view options that broaden the amount of data shown.

Show detailed customer and project information activates the columns project no., customer no. and customer name on the project and customer the contract is linked to.

Show detailed time and expense data activates the columns contract share, cost price, registered value and booked value to the report sections.

Show dimensions activate the columns project type and project category.

Show expenses and travel expenses activates the sections Contract work, Contract expenses and Contract travel expenses.

Show project and contract status activates the Status section with the columns Project status and Contract status.

Show work (h) activates the Work (h) section incl. the associated columns.

Data

Depending on the choices you made in the view options and your version of TimeLog, the report will deliver the following groups of data:

Customer: Customer no. and name
Project: Project no., name, type and category*
Status: Project status and contract status
Work (h): Budgeted, registered, estimated* and work in hours booked as revenue and invoiced
Contract total (EUR): Budgeted, registered, estimated* and value booked as revenue and invoiced (toal work, expenses and travels)
Contract work (EUR): Budgeted, registered, estimated* and work in amounts booked as revenue and invoiced
Contract expenses (EUR): Budgeted, registered, estimated*, expenses booked as revenue and invoiced
Contract travel expenses (EUR): Budgeted, registered, estimated*, travels booked as revenue and invoiced
